Duties
Accounting:
Create labels & file A/P and A/R paperwork
Data entry of daily deposits
Pull magazine tear sheets & match with client invoices
Ensure that insertion orders (I/O) are received & add to I/O binder
Catalog and organize tear sheet archives
Assist with Quickbooks journal entries (month-end close process)
Office:
Sort mail and distribute mail (SF & NY)
Stock FedEx/UPS/DHL/USPS supplies in mailroom
Tend to general organization of mailroom and 1st floor storage room
Maintain and stock kitchens on all floors
Maintain and stock printers on all floors
Coffee preparation (3 times per week)
Assist with meeting preparation
Assist with building & facilities maintenance as directed by Office Coordinator
Ad-hoc requests from accounting and office management
Skills
Accounting & Office:
Knowledgeable with computer and applications: Quickbooks, Microsoft Office Suite (Excel, Outlook, Word, PowerPoint, etc…)
Excellent communication skills in person and over the phone
Proficient at time management under tight deadlines and detailed oriented
Energetic and proactive
